Record an unambiguous loan

Give each device a recognisable identifier. Where several laptops or adapters look alike, laptop is not a sufficient description. Record who receives it, when it was issued and when it is due back. Add the purpose only as far as necessary to make a later enquiry understandable. A simple shared list can be enough if responsibility for updating it and permission to view it are clear.

List supplied accessories individually when they can easily become separated. A charger, connection cable and carrying case do not automatically return together merely because they were issued together. Check the visible condition at handover and record existing issues factually. On return, nobody then has to decide from memory whether a mark or damage was already present.

Treat returns as a separate task

Agree a specific return location and responsible recipient. A device left on an arbitrary empty desk is not yet a recorded return. If equipment must be returned outside normal hours, establish an appropriate authorised arrangement. Update the list only when the device has actually arrived; a message expressing an intention to return it is not sufficient.

Check accessories and basic operation before issuing it again. For devices containing work data, the responsible person should follow the designated handling process. A quick look at the start screen proves neither that everything is complete nor that stored information has been dealt with. Mark equipment awaiting checks so that it is not accidentally handed straight to the next borrower. Keep that status visible in the same place as availability rather than in a separate private note.

Make extensions visible

Agree an extension before the original return date. Check whether somebody else is already expecting to use the equipment, then change the date in the same register. Private arrangements between two users can otherwise leave the central record silently incorrect. For a direct handover, explicitly record the new responsible person rather than relying on the original borrower to remember it later.

Review open loans regularly and follow up overdue items factually. First establish whether the equipment is still needed, has already returned or has been passed to somebody else. Archive completed entries according to the applicable process instead of letting the active list grow indefinitely. Its main purpose is to show which devices are available now, which are elsewhere and what action is required next. A short accurate record is more useful than a detailed register that nobody trusts.
