Distinguish an action from an observation

Review the notes by asking what someone explicitly agreed to do. Delivery timing may become critical is initially an observation. It becomes a task only when it is clear who will check which information and by when. Do not invent that ownership afterwards from the seating arrangement or a recollection of the conversation's tone.

Mark uncertain points and clarify them promptly. The longer clarification waits, the more likely participants are to develop different interpretations. Keep decisions distinct from actions: selecting a draft may be complete while adapting it remains outstanding. The two records belong together but have different states and should not be treated as interchangeable evidence of completion.

Write the next step fully

Transfer an action with its responsible person, concrete result and agreed date or trigger. Add a reference to the relevant decision or document. Anna will handle it is too vague if several questions remain. A clearer entry might say that Anna will obtain the confirmed delivery week from the supplier and add it to the project update.

Check that the person actually accepted the action and that its prerequisites exist. Record a missing approval or file as an explicit dependency. A nominal deadline does not make work executable when the necessary input is absent. Resolve that conflict before it later appears to be a promise someone failed to keep despite never having what they needed.

Connect the record with the live task list

Decide where current progress is maintained. The meeting note records the position at that time and does not need rewriting after every development. A link to the ongoing task overview prevents two conflicting lists. If a decision changes later, record the new decision and its date rather than silently reinterpreting the original record.

Before the next meeting, review only the open points relevant to its purpose. Ask for a result or obstacle rather than a general percentage with no shared meaning. Once an action is complete, link its output and close the entry. The meeting then leads to findable work rather than merely another set of minutes that nobody opens again.
