Break the appointment into actions

Establish what you will do on site: discuss documents, present something, take measurements or record results directly. Assign the necessary materials to each action. A laptop may be essential for a presentation, while a brief discussion may need only prepared pages and a way to take notes. Do not automatically carry everything normally kept on your desk.

For an unfamiliar room, ask about the connections and equipment you need. If you intend to use a display, it must connect appropriately to your device. An adapter is useful only when it suits the actual combination. Test that setup before departure where possible, and prepare the necessary files so that the intended access will work at the destination. Do not assume the same network access will be available away from your usual workspace.

Include a small working reserve

Pack the correct charger and check the charge level of required devices. For a short meeting, a printed or otherwise available copy of the essential material can preserve the main content if the planned presentation fails. Use suitable, approved storage and transport methods for this. Confidential files should not move onto an unchecked personal storage device merely for convenience.

Keep small pieces together in their own compartment: adapter, pen and any necessary connecting cable. Separate heavy or sharp-edged objects from delicate equipment. The bag should open in a way that does not require spreading all its contents across the meeting table. Place the first document needed within reach and check that every closure shuts fully. Leave enough space to return with any materials you reasonably expect to receive.

Plan arrival and the return

Keep the address, contact person and important arrival details accessible. If reception inside the building is limited, the contact information should not exist only in a message that must first be downloaded there. Check whether the appointment requires identification or an agreed registration process. Carry only the documents genuinely needed for the visit.

Before leaving the appointment, check sockets, the tabletop and seating area for your belongings. Chargers and adapters are easily forgotten because they can remain out of sight during the discussion. On returning, file new notes and received papers with the correct work item. Empty the bag of documents no longer needed and replenish used supplies. The next visit will then start with checked equipment rather than whatever happened to remain from the previous one. Record any connection difficulty while it is still fresh if you are likely to return to the same location.
