Name dependencies concretely
For a larger task, identify what must exist before it begins. This could be approved wording, confirmed dimensions, access or a decision from a particular person. Avoid a general note such as waiting for team. Name the specific input and its responsible source so that the useful follow-up is clear.
Distinguish essential prerequisites from helpful additions. A draft may begin using marked assumptions while an order requires confirmed information. This distinction prevents unnecessary complete waiting. Keep assumptions visible, however, and establish when they must be checked. A provisional value should not quietly become the basis for a binding decision simply because nobody revisited it.
Place work after the real prerequisite
Agree an understandable delivery time with the person supplying the input and check whether enough working time remains afterwards. A response immediately before your own deadline leaves no room for checking or correction. Include the transition too: information may need reading, importing or checking for completeness before the main task can begin.
Where several inputs are required, track their states separately. One overall green indicator can conceal a missing approval. Schedule a short readiness check before the larger work block so that an obstacle is not discovered only at the planned start. The check needs to happen early enough for a concrete response, rather than merely documenting a problem that can no longer be addressed in time.
Prepare a next step for delays
Decide which other work can usefully move forward if an input fails to arrive. That alternative should be independent rather than relying on the same missing information. Tell affected people when the delay changes subsequent commitments. Quietly moving a calendar block does not resolve the dependency for everyone else whose work follows yours.
After completion, review which waiting period could have been anticipated. Approval may have been requested too late, or the required file format may not have been explained. Improve that handover during the next cycle. The purpose is not to remove all uncertainty from planning, but to make prerequisites visible enough that working time and commitments rest on an understandable basis.
