Inspect the actual set together

Place the items being handed over on a clear surface. Identify the main device and the accessories actually included: power supply, cables, bag or adapters. Use an existing unique identifier for similar devices. A model name alone is insufficient when several identical units are in the inventory.

Distinguish newly issued equipment from items already at the workstation. Otherwise a monitor may later be remembered as handed over when it was merely demonstrated or assigned to someone else. The record describes this specific transfer. It should not automatically mark every item on a standard equipment list as received.

Separate condition from setup

Describe visible features in specific, checkable terms. “Scratch on the left edge of the case” is clearer than “used”. A condition note is not a comprehensive functional test, however. A device handed over in its packaging should not be recorded in a way that implies every connection and application was tested together.

During a planned setup, handle the required steps separately. Can the recipient sign in using the intended authorised account? Are the necessary accessories present? Which remaining setup tasks belong to the responsible IT team? Passwords should not appear on a broadly circulated handover list. Use the organisation's designated secure process for access information.

Assign responsibility for unfinished items

A missing bag or outstanding adapter should be more than a margin note. Identify who will resolve it and how its later delivery will be recorded. Otherwise people may remember that something was missing without anyone taking responsibility for supplying it.

Agree the return process if the equipment is temporary. Which components should come back together, and who should be contacted if a fault occurs? The handover is a convenient moment to provide this information while everyone is looking at the same set of items.

Keep the completed record in its designated location and make it findable by the authorised people involved. Collect only information needed for identification and the process. A manageable list completed accurately is more useful than a lengthy form whose standard tick boxes do not correspond to the real handover.
