Operate the window fully

Open the window in its intended positions and check the space needed by the sash, handle and curtain. A monitor may fit beneath the sill yet obstruct opening. Include the raised position of an adjustable desk and the movement of lamp arms. Access should work with the workstation in use, rather than only with the chair pushed completely out of the way.

Keep loose documents away from the immediate opening area. A suitable tray that holds papers securely is more reliable in moving air than a pile of separate notes. Place drinks and sensitive equipment where ordinary window operation will not endanger them. Consider changing weather before leaving the room unattended with the window open, and follow the building's circumstances and operating guidance.

Find suitable points in the day

Look for transitions where ventilation fits naturally: before the first appointment, after a longer call or during a planned break. Linking it to an existing transition can be easier to maintain than adding an alert that repeatedly arrives during meetings. Agree the arrangement in shared rooms so that one person does not open a window only for another to close it immediately.

A fixed number of minutes does not suit every room size, occupancy, exterior condition and ventilation method. Use the guidance provided for your building and ask the responsible contact where necessary. An installed ventilation system has its own operating requirements. Do not cover its supply or extract openings with cupboards, boxes or decoration simply because the surrounding space appears unused.

Check access again after changes

Repeat the opening test after adding a shelf or changing a monitor support. A small later addition may create the obstruction that was absent during the original setup. Keep the handle visible and reachable, and avoid storage that must be cleared before every opening.

If street noise or video calls make opening difficult, include those conflicts in the plan explicitly. A conversation may be moved to another position or a break timed differently. The arrangement needs to suit the room's actual use. A quiet workstation whose intended ventilation arrangements can no longer be operated is not yet a complete setup.
