Locate the exact obstruction

If you cannot roll close enough to the desk, first identify the part that stops the chair. Armrests may hit the front edge, catch beneath a drawer or meet a broad crossbar. Do not measure only the top surface: the lowest point beneath the desk determines how far the chair can travel. A side-view photograph can help make the cause clear.

Compare the arrangement at your actual working seat height. An armrest that passes beneath the top when the seat is low may obstruct movement again after you adjust it for work. Avoid lowering the entire chair solely to push it farther under the desk. The arrangement needs to function during work, rather than only when tidying up at the end of the day.

Establish which adjustments exist

Consult the instructions to see which movements are intended. Some pads move vertically, while others also rotate or shift sideways. Those functions are not interchangeable. Rotating a pad, for example, may leave the distance between its supporting brackets unchanged. Try each permitted adjustment separately and check that it holds its position afterwards.

At a narrow desk, legs or a drawer pedestal may restrict the chair from the sides. Lowering an arm pad may do nothing to solve that problem. Measure the widest part of the chair and the available opening beneath the desktop. Include the turning movement: a chair may fit when pushed straight ahead but catch a piece of furniture as it rotates.

Test the change during ordinary tasks

After an adjustment, try typing, writing notes and reaching for a folder beside you. Do not deliberately hold your arms in a special position simply to make the measurement pass. The important point is whether your normal movements fit. A small keyboard adjustment may help, but leaving the keyboard permanently too far away is a poor compensation for obstructing armrests.

If the instructions explicitly allow removal of the armrests, investigate that option using the manufacturer's directions. Drilling, bending or improvised spacers are unsuitable ways to alter an unfamiliar chair. When shopping for a replacement, take the critical dimensions of the existing desk. This lets you assess a model whose armrests and base fit the workspace, rather than discovering the same conflict after delivery.
