Inspect the image and text separately

Optical character recognition adds machine-readable characters to a scan. The visible page and the text used for searching or copying can differ. A clearly visible name does not guarantee that the search function recognises it correctly. Test both representations using the same passage.

Choose distinctive words from several pages and search for them in the finished document. Include a name containing an accented character, a longer reference number and some small print. Then copy a short paragraph into an empty text document. This reveals whether spaces, reading order and special characters transfer usefully. Remove that temporary test file afterwards if it has no continuing purpose.

Decide which errors matter to the task

For an internal search collection, an occasional mistake in an ordinary word may have a different impact from an incorrect case number. Identify the fields that will later act as search keys before checking the document. A short list containing its date, reference and a characteristic phrase keeps the inspection focused on how the file will be used.

If figures will be transferred into a spreadsheet, a random spot check is not a basis for accepting every number without inspection. Compare the actual amounts and references being used against the visible original. A misplaced decimal separator or substituted character can change the meaning of an otherwise readable page. Copying recognised text saves typing; it does not remove the need to check the content being transferred.

Inspect reading order on pages with multiple columns. A copied paragraph may jump into another column halfway through a sentence. Ask whether the words appear in the sequence needed by the next task, not merely whether they are present somewhere. Tables, footnotes and margin notes deserve separate attention because their position contributes to their meaning.

Improve the cause before correcting everything

When several areas of one page are recognised poorly, inspect the capture itself. Is it tilted, blurred, dark or cut off along an edge? A fresh scan may be more useful than a large number of individual corrections. Work from the unchanged original and avoid altering its visible content when your intention is only to improve the searchable text.

Check the document-language setting in the application too. Multilingual paperwork may need a different setting from the office's usual documents. The exact controls depend on the software. Use its instructions for recognition and correcting recognised words rather than following a menu sequence written for another version.

File a checked result

Keep an unchanged starting file before extensive editing. Name the processed version so that it cannot easily be mistaken for the original capture. After a correction pass, reopen the saved result and inspect both the earlier problem areas and an additional passage. This also confirms that the changes were saved to the file you intend to keep.

For a larger batch, use a short checking record: filename, complete pages, orientation, successful search terms and unresolved problems. Describe an unresolved item specifically, such as “check reference on page 4 manually”. A general tick marked “OCR done” says much less about whether the document can support the next task. Move it into the regular filing location once the relevant checks have been completed.
